How to Sync your Calendar to Outlook

CompleteEmpire can import and export calendars from external applications such as Microsoft365 Outlook.

This is a necessary action that should become a regular event in your daily routine.  Either at the end of the day, the start and intermittently during the day depending on your work flow.

To synchronise your emails and calendars with Microsoft Outlook you have to have already authenticated your Microsoft 365 account. Refer to How to link to your Microsoft 365 account

The synchronisation process will NOT import any appointment or event marked as PRIVATE in your  calendar.

In the Calendar view there are two options to open the import wizard.

Open the Calendar Sync panel

  1. Click {Calendar} to open the Calendar view from the Main Menu.
  2. Click the [Open Panel] icon (blue arrow) on the right hand side of the Work Area Header to open the Calendar Sync slide out panel.

OR

  1. Click the [Sync with your Calendar Provider] button in the Work Area Panel Quick button group to open the Calendar Sync slide out panel.
  1. Click [Sign in with Microsoft] to open the Microsoft Calendar Sync window.

Important Note: When you sync your Calendar from Microsoft it will bring all of your calendar items into CompleteEmpire so if you DO NOT wish to do this then untick the {Pull from Microsoft} indicated below.

  1. Select a date range for your import. There are preset selections or chooses specific date ranges.
  2. Select the type of sync {Add New} you wish to perform tick box for import (Pull) and export (Push).
  3. Select the type of sync {Update/Delete} you wish to perform tick box for import (Pull) and export (Push).
  4. Click [OK] to commence the scanning of your email account and syncing of your calendar items.

The user can select the date range and type of sync to perform. CompleteEmpire now remembers the users’ previous selection (as does the Messages import dialog).

  • All-day events can be imported from the provider however this functionality is not yet supported for all day appointments created within CompleteEmpire.
  • Appointments can only be modified by the owner/creator and only where the appointment was created (CompleteEmpire or Microsoft365 Outlook). This prevents sync issues where an appointment created in Outlook, imported into CompleteEmpire, edited in both provider and CompleteEmpire and finally re-synced.

Note: If you receive a message indicating that your authorisation token has expired. Simply go to the Social Accounts page and click the Refresh Account button for Microsoft365. Then retry the import. Refer to Linking to your Microsoft 365 account

The Calendar is set for each personal users time zone, which will default to their current time zone.  It can be changed by the Administrator under the User area in the System tab.  Currently the time zone will not change if the user travels to a different timezone unless the User setting is updated.

  1. To close the Mail Import panel click the [Close Panel] icon (grey arrow) or the [Sync with your Calendar Provider] button.
