Creating new Tax Work - from an Opportunity

Creating new tax work directly from an Opportunity is the most efficient and effective way to ensure you capture the creator, the start dates, referral fees (if any) and manage the status.  Using the Advance to Enquiry button and selecting Tax Work will ensure that the work is associated with the Opportunity to improve tracking, referral fee management, effectiveness and efficiency. As you complete the tax work it automatically updates the Opportunity.

Opportunities View

  1. From the Opportunities grid view use the search panel to find your tax work opportunities.
  2. Double click the opportunity to open at the Opportunity Summary view.

Change the Opportunity Status

  1. Click on [Change Status] to advance the opportunity status forward.
  2. Select {Successful - Activity Required} to advance the opportunity.

Advance the Opportunity to an Enquiry

  1. Click on [Advance to Enquiry] to advance the Opportunity to an Enquiry.
  2. Select {Tax Work} to open the New Tax Work window to create the new work.

The list of options that are visible to you under {Create the following enquiry:}  -  will be dependent on upon your log in credentials.

  1. Note that you also have the ability to change the opportunity status from the [Advance to Enquiry] action.

Tax Work

  1. Complete, or edit any pre-filled, fields. Note that fields outlined in red are mandatory.
  2. Click [OK] to save the new tax work. This will open the tax work at the Tax Work Edit view.
  1. Waiting on Client - is the initial status automatically assigned. Once the client has provided data then the tax return processing begins.

Advance the Tax Work Status

Once the client has provided  their data then the tax return processing can begin. Documents received electronically, or scanned originals, are added to the DMS and the status can is updated to {Work in}.

  1. Click Change Status to open the drop down status list, only highlighted status can be selected.
  2. Select {Work in} to register the work and commence the tax work for the client account. The Change Status  -  Work in window will appear.
  1. Changed Date  - use to change the work in date if required, an example could be when work has already been started but not registered.
  2. Tick {Would you like to create an appointment?} if necessary.
  3. Click [OK] to return to the Tax Works View.

At this point the work is in progress and it is incumbent on you to update the status as the work progresses. Refer Updating the Status of the work

Add additional information as necessary and note the ability to add new opportunities linked to the account and the tax work.

Expand or collapse content Updating the Status of the work

Each time the Tax Work status is updated the Change Status window will be opened to allow you to update the date/time of the actual update which may be different to the current date/time automatically selected for you.

  1. If required you can edit the pre selected date and time.
  2. Tick {Would you like to create an appointment?} if necessary. This will expand the window so you can add the following details:
  3. Complete the fields as required noting the mandatory fields outlines in red. Notes will form the body of your email so ensure that if the client is included that the correct formalities are observed.
  4. Click [OK] to return to the Work View.

The invoice for the work should be be created and sent to the client when the Status is advanced to {Sent to Client}

When the status is updated to {Lodged} an additional window is presented for RENEWALS.

  1. Tick {Would you like to create a renewal fee for the client?}  -  opens a new window.
  2. Enter renewal fee if not already pre-filled with the current years information.
  3. Click [OK] at this point the work is Lodged with the relevant tax authority.

Your tax work for the current client account is now complete.

Once the Tax Work has been advanced to {Lodged} the work has been completed and the status cannot be changed.
