User Guide for External Sales Agents

CompleteEmpire is a powerful, yet easy to use system that:

  • helps manage your lead and sales process,
  • provides visibility and access to relevant information that helps you perform your duties, and
  • offers simple and efficient updating of communication and action on clients and prospects,
  • supports you to achieve the best results in your endeavours.

External Sales Agent

As an External Sales Agent you have Login access to the CompleteEmpire System that will let you:

  • Have visibility of assigned Development projects and stock availability.
  • Confirm Sales and reserve units for interested clients.
  • Be assigned unique Tracking Codes that you can use on your general digital marketing strategies so that any responses are automatically captured in CompleteEmpire and directly assigned and visible to you to progress them.
  • Request bulk email campaigns on agreed grab metrics that can be sent through CompleteEmpire but come from your personal email address and include a unique Tracking Code to ensure any subsequent activity is assigned to you.
  • View, edit, and create sales Opportunities and Enquiries including workflow management with our Sales Status updater.
  • Create and respond to Contact Logs to record client communication points.
  • Manage and report the activity assigned or created by you on our behalf.

What you can do

  • Receive leads from either our Opportunities (cold & maybe) or Enquiries (warm & likely).
  • Use our unique CREF code in the lead in all of your email communication with the client in order to allow a quick download of relevant communication into our system, saving you time from updating the system manually.
  • View and edit your Opportunities & Enquiries in our CompleteEmpire.
  • Generate email communication & appointments to clients and our team internally through the Contact Log System to ensure full visibility and optimum efficiency in your dealings.
  • Access our Reports area with a variety of reporting options under the Standard Reports area or ability to create custom reports to suit your requirements under the My Reports section.

Dashboard Select and view a variety of quick reports on your activity.
Messages Import from Outlook, create and view emails from within CompleteEmpire to entered clients or contacts.

CRM View, edit and create Accounts and Contact Logs that are linked to you through your personal activity.
Opportunities View, edit and create Opportunities that are linked to you through your personal activity.
Developments View Development Projects information where you have been authorised to access.
Sales View Properties available to you.
Use the Prospects area to match your clients to a property profile or search for an available property based on your required criteria.
View, edit and create Sales Enquiries that are linked to you through your personal activity.
Reports View a variety of Standard Reports or create your own in My Reports.
System Upload and View Documents.
Monitor and personal Bug or Update Requests made.
View the Release History to see recent upgrades to CompleteEmpire.

Helpful Functions & Tips
Changing the status of an Opportunity In both Opportunities & Enquiries you have use of a Status field allowing you to monitor the current stage of action that activity is at and quickly filter and find activity at that level.
Activity Thermometer In both Opportunities & Enquiries you have access to allocate an activity “Temperature” to define the quality of the lead and quickly find and concentrate on the most relevant.
Contact Logs CompleteEmpire not only allows you to quickly and efficiently record all contact points with a client, but it will also let you send automatically as an email, record a future appointment or task and also create and update surveys that may be used for duty confirmation, statistical reference or profiling.
Updating Complete with Email Imports Even if you have limited time to enter in new Contact Logs, CompleteEmpire make updating easy when you include the unique CREF code in the Subject bar of your emails.
In doing so, all you will need to do is regularly login to CompleteEmpire, go to Messages and use the import function to bring in and auto allocate all communications relevant to your Opportunities and Enquiries.
Note: CompleteEmpire will only import emails with the CREF code that is in your login, so no private or other business emails will be imported.
Advance to Enquiry In the Opportunities system there is a quick button to “Advance to Enquiry”. When used this will automatically assign the created Enquiry to the original Opportunity, auto populate the relevant fields and then subsequently update the opportunity as the Enquiry progresses to successful completion.
Creating New Accounts – Checking for Existing Accounts If you are creating a new Opportunity or Sales Enquiry for a new client, CompleteEmpire will check if that client is already in the database and ask you to confirm to either create new or use the existing.
We recommend you use the existing Account when found and asked, as this will ensure better control and management of your relationship and ensure there is limited duplication of records in the system.
Bug – Support Suggestions Use the Bug tool in the bottom right hand corner to report any issues you are experiencing, request support or make suggestions to improve the system.
