Property Sale - Updating the Status

The property sales modules quickly allows you to track and manage the sales process and provide a single point to track every enquiry,  communications, documents and web presence for each property. You are able to view properties available to you, use the Prospects area to match your clients to a property profile or search for an available property based on your required criteria. View, edit and create Sales Enquiries that are linked to you through your personal activity.

In order to be able to use the module the property needs to have been added as one of three core types, Home Building, Development or Existing. Sub types include but are not limited to vacant land, house, apartment, land and house etc. These properties are added via the Developments module for multi unit developments, Home Buildings for off the plan house designs to be sold as part of a land and house package and existing property added vie the Sales>Properties view.

Scenario - your client has indicated an interest in an available property and wishes to progress to purchase as this work progresses you can update the status of the work for ease of management, tracking and reporting.

  1. Open the Sales view by clicking {Sales} > {Sales} in the Main Menu.
  2. Use the Search panel to locate your client, at least one search criteria will need to be entered, to display the list of property sale opportunities.
  3. Click to highlight, double click to open in the Summary view or select the [Edit] button in the works view Quick Link button group to directly open the enquiry in the Edit view.
  1. To advance the workflow click on [Change Status] to open the drop down list.

Before the enquiry can be progressed to a sale the Real Estate Agency and Sales Agent will need to be assigned.

  1. Select the status required.

A Change Status window will be presented where the date of the change can be changed and a tick box selected to make an appointment and send a message to the attendees and the client.

  1. The current date/time is always present but to change select the calendar or clock icons.
  2. If you wish to create an appointment from the action tick {Would you like to create an appointment?}
  3. To send the invite to the client tick {Would you like to send an invite to 'client'?}
  4. Click [OK] to close window and send emails.  

Note the following when updating the status of a property sale:

"Sale Confirmed" means a significant intent to acquire and therefore the property should not be available for anyone else to acquire until sale is contractually finalised or the buyer withdraws their intention. If the buyer subsequently withdraws from the purchase the status will reset to "Available" when work status has been to a work flow status that is NOT a "Confirmed Sale.
