The Sale Enquiry entry process is designed to guide you through the initial stages of capturing quickly all pertinent information relating to a sale enquiry in a logical and uncluttered work flow. The various windows present differing fields for data dependent on the choices made before. An example is given below but the principles remain the same whatever the choice made.
The idea is to capture as much information as quickly as possible in for example a telephone conversation or online chat. Information captured at this stage can be edited later and decisions and choices other than Enquiry Type are not critical or exclusive.
If you create a new sale enquiry when within a clients work a prompt will be presented asking you to confirm if the enquiry is for the current client.
To create a new Sales Enquiry in CompleteEmpire there are several choices.
- From any view click [Create New] in the always present Quick Action button group in the work are header.
- Select {Sales Enquiry} in the drop down list to open the New Sale Enquiry window. The choices in the drop down menu will depend on your access credentials to CompleteEmpire and assigned work activities.
Ideally the Sales Enquiry would have been captured first via Opportunities. The opportunity will progress to an enquiry and all the original existing information will be captured and automatically update the opportunity when the sale is successful.
Alternatively proceed to the Sales work module.
- Click {Sales}>{Properties} in the Main Menu
- Click [Create New] - to open the New Property window.
Alternatively proceed to the Prospect Sales work module.
- Click {Sales}>{Prospects} in the Main Menu
- Click [New Sale Enquiry] in the quick menu - to open the New Sale Enquiry window from any of the three tabs.
Enquiry Type
- Select the enquiry type from Home Building, Development or Established. Each choice will determine the following information to be entered during the quick entry process for a new sale enquiry.
Enquiry Details
Note that entries from this point on can be edited later, if required, but the aim is to prompt you to capture as much information from your client as soon as possible.
- Complete as many fields as possible noting that those outlined in red are mandatory.
- If the buyer is new to the business (search by name, phone and email first) then use the [Create New] account button to open a new section for entry of the buyers details. New Buyer
- Select the Source/Origin of the enquiry, the former is mandatory.
- Tick the box if the buyer requires foreign investor approval i.e. they are not a permanent resident or citizen.
- Click [Next] to open the next tab - Buyers Criteria.
- Complete buyers details adding as much detail as possible.
Before adding the buyer check that there is not an existing person already on the CompleteEmpire database by searching by name , phone number or email address.
Note ordinarily this information would have been captured via the creation of an opportunity or a sales lead as a result of a campaign or event.
Buyer Criteria
- Complete as much of the buyers purchasing criteria as possible. Multiple selections are possible in each field.
- Click [Next] to advance to the next tab - Property Selection. or [Previous] to return to the Enquiry Details tab
Property/development types, facilities and other criteria can be configured in Lookups
Property Selection
- Based on the earlier client preferences the opportunity now exists to review the current Property For Sale database and discuss or refer them to the new enquiry client.
- If the client is interested in a development then use the filter to select. Tick {would you like to add a new property] if at this point the client suggests property that they have seen that they are interested in and that can be added to the clients search profile.
- Click [Next] to advance to the next tab - Appointment or [Previous] to return to the Property Selection tab
Appointment
- Click {Would you like to create an appointment?} to open the Appointments window.
- Complete the required fields and create the appointment. Tick the {Would you like to send an invite to ?} to send an email to the attendees.
- Click [Finish] to close the New Enquiry window. The view will revert to the Sales Edit view. Refer Edit a Sale Enquiry
