The DMS Document Management System is fully integrated into all areas of CompleteEmpire. As an example detailed here is the document management system integrated with the Accounts module and is typical of how documents can be managed within CompleteEmpire.

Accounts View - Summary

Example

  1. Account Summary view of Jane Blue. CRM>Accounts>Jane Blue
  2. Jane Blue's attached documents.

Account Summary View - Documents

  1. Documents  - click to move focus to Documents in the Work Area.
  2. Search attached documents  -  Type in the filed your search terms.
  3. Filter attached documents by tags  -  select from the available Tags to filter your search. Works in combination with the alpha numeric search.
  4. [Search]  - use to apply the search criteria set by the two fields to the left.
  5. [Clear]  -  clear the search criteria to the left.
  6. [Refresh]  -  refresh the displayed window.
  7. [Edit]  -  jump to the Account Edit view. Example - to add a new document and attach to the account.
  8. Documents panel  -  lists the attached documents to the account, matching results  of your search criteria if set.

Account Edit View - Documents

  1. Documents  - click to move focus to Documents in the Work Area.
  2. Upload  -  to add a file to the account you can drag and drop to the panel.
  3. Search the DMS then select to attach  -  search the system DMS for available documents to upload to the account.
  4. Select files  -  search for and click to select files from your device using Windows File Explorer or Mac Finder to upload to the account.
  5. Search files within the account - searches attached account files, which will be displayed in the panel view.
  6. Filter attached documents by tags  -  search displayed files by tag.
  7. Search  - use to apply the search criteria set to the left.
  8. Clear  -  clear the search criteria to the left.
  9. Documents panel  -  lists the attached documents to the account, matching your search criteria if set.

All documents uploaded are managed and only stored once in the CompleteEmpire Document Management System, whether directly via the DMS module or through your specific work activity. For example when you attach a file to a client, as above, you are creating a link to the document within the DMS and your are not duplicating or adding files. Do not be concerned about storage space and duplication as only a single copy of the document will reside within CompleteEmpire.
