Overwriting an existing document - version management

If you have saved a file, for example in the client Account and you wish to overwrite it with a newer version then you will need to search for it in the DMS and upload a newer version.

The process below details the steps to take.

NOTE: only the OWNER of the uploaded file can add a newer version to DMS.

Note that the DMS keeps all versions of your uploaded documents.

Overwriting an existing document

  1. Click DMS in the Main Menu to open the DMS View
  2. Click on the top level folder to open the folder. The current folder is highlighted (blue in this example). Visible folders depend on the users log in credentials and activities assigned.
  3. Select Files that you wish to overwrite with a new version - this opens the Properties Panel on the right.

HINT: Check you have the correct FOLDER and use the TAGS to filter your search even further. Refer to Searching for documents for further insight to using the comprehensive search and filtering features of CompleteEmpire.

  1. Locate the {Add New Version} box and drag and drop the new file into it.

Alternatively

  1. Click [Select Files..} to open File Explorer.
  1. Select your file and double click the file or click [Save] to add to the DMS and replace the current highlighted file in the DMS view.

Example  -  

  1. New version uploaded and added to the top level folder {Miscellaneous.} The File Display icon indicates it is a NEW! VERSION!
  2. Confirmation message that the file has been uploaded momentarily appears.
  3. Version Icon is highlighted (blue) to indicate that there are multiple versions of this file.

Viewing the Version History

  1. Open the Version History window by right clicking on the document display icon and click Version History
  1. Version History  -  the window will display the date of upload, file name, owner and version number and currency.   Older versions of the document can be reverted to current status if required.

Reverting to an earlier version

  1. Open the Document Properties Panel  - click to highlight the document icon.
  2. [Version History]  -  click to open the Version History window.
  1. {Revert}  -  click to select a previous version and revert to current version.

Example

Example - the current version has been changed from 0.3 to to the first version 0.0.

  1. Version History  -  the window will display the date of upload, file name, owner and version number and currency.
  2. Revert  -  Older versions of the same document can be reverted to current if required, document with a version history are indicated in the file properties box with a blue 'revert' icon.

Manually Changing the Document Version

The File Properties Panel is the key to document management.

  1. If you wish to manually edit the version number this can be achieved using the Major/Minor Version fields in the Document Properties Panel.
