This article illustrates how you can quickly tag a document or a group of documents that you upload to the CompleteEmpire DMS directly or from within your current work module.
The DMS filing structure is straightforward and kept simple for your convenience and to enable fast and efficient document searches. Users are strongly encouraged to use document Tags wherever possible and to add keywords to the document metadata via the properties panel.
Tagging is a process of applying a controlled vocabulary to files, which can then be searched to locate specific files. Tags are effectively file folders without the cumbersome file structure and naming issues associate with traditional filing cabinets real or not.
New Tags are added via System>Lookups and may be administrator controlled.
It is important that Tag naming and use are implemented for the convenience of all users and you are encouraged to discuss the use of Tags with your colleagues within the Work Activity area that you are affiliated to. Organise and improve your document control and management with Tags and sub Tags.
Document upload direct to the DMS
- Open the DMS.
- Select the folder you wish to upload the documents to.
- Select the Tags that you wish to apply.
- Select files to add to the folder with the applied tag(s) or
- Drag and drop the files in the area indicated.
- Check the document(s) properties to make sure that the tags were applied by double clicking the document to open the properties panel.
Document upload within the work area
- Open the work and locate the Document panel.
- Click on the field {Filter attached document by tags} to open a pop up window.
- Select the tag(s) that you wish to apply to the imported documents. You may apply as many tags as you wish.
- Click [Select Files] to open a Windows File Explorer window, OR;
- Drag and drop files to the area indicated.
- Check the document(s) properties to make sure that the tags were applied by hovering your mouse over each document.
