Real Estate Portal Setup

1. Introduction

CompleteEmpire provides two-way communication with REAGroup and DomainGroup real estate portals by uploading developments, established properties, and rental properties to the portals for advertisement and capturing enquiries generated through the portal.

1.1. Objectives

The key objective of this document is to define the steps required to configure the real estate portals and CompleteEmpire subscription and the use of CompleteEmpire on the real estate portal integration.

1.2. Intended Audience

The intended audience of this document is the Subscription Administrator to configure the real estate portals and CompleteEmpire, and any staff (for example, sales agents and property managers) that need to upload properties to the real estate portals.

2. Real Estate Portal Setup

Your organization must have an Agent account with the required real estate portals through which you authorise CompleteEmpire to be the Uploader.

The two portals require slightly different configuration as explained below to set up your listing Uploader

2.1. Set up or change your listing Uploader

2.1.1. REAGroup Uploader set up

The steps required to change the uploader (or API Partner) for your Agent account can be found in the REAGroup Help at Set-up-or-change-my-listing-uploader-XML-or-API-partner.

The answers to the following questions on the form must be selected.

  1. Select Both under the question "What will this uploader be used for?"
  2. Select All Listings under the question "Which listing are you going to create with your new uploader?"
  3. Select Empire Software under the question "Who is your new provider?"

2.1.2. DomainGroup uploader set up

The steps required to change the uploader (or Bulk Uploader) for your Agent account can be found in the DomainGroup Help Center at Change-your-listing-CRM-Bulk-Uploader

The answers to the following questions on the form must be selected.

  1. The new CRM is Empire Software.

3. CompleteEmpire set up

The following steps are required to setup the real estate portals for a real estate agency within a CompleteEmpire subscription. Real estate portals can only be configured for internal real estate agencies.

  1. Sign in as a Subscription Administrator
  2. Click Accounts under CRM on the Main Menu.
  3. Search for the real estate agency whose properties will be uploaded to the real estate portals.
  1. Click [Edit]  to open the edit view.
  1. Within the Activities window find {Real Estate Agency} and select to open a a drop down window.
  2. Click Details.
  1. Select the Real Estate Portals tab and then click
  2. [Powered by Domain] icon to open the Domain configuration window or
  3. [realestate.com.au] icon to open the Realestate configuration window.

Use this page to configure the real estate portal. Switch between portals by clicking on the {Click to configure} or return to {your subscription}

  1. Select {Yes} on the Enable REAGroup or DomainGroup Portal? switch to enable communication with the the respective portals.
  2. Use this page to configure the real estate portal. Switch between portals by clicking on the {Click to configure}.
  3. Clcik on return to {your subscription} to leave the portal setup and return to the Edit view.

4. Domain Group Configuration

  1. Select {Yes} on the Enable DomainGroup Portal? switch to enable communication with the DomainGroup portal.
  2. Enter your Agency ID (5 numeric characters long) into the Agency Ident. field.
  3. A DomainGroup Agent account can be configured for the entire real estate agency using the top section or alternatively separate Agent accounts can be configured for individual operating locations by clicking the expand link next to {Operating Locations}.

Dependent on your CompleteEmpire subscription, the page will display sales and/or rental options.

  1. Click on the expand link next to Sales Agents to enter the Agent ID for individual sales agents into the Agency Ident. field.
  2. Click on the expand link next to Property Managers to enter the Agent ID for individual property managers into the Agency Ident. field.
  3. Select {Yes} for "Enabled processing of the sale enquiry notifications?" to enable processing of enquiries received from the DomainGroup portal.
  4. Slect {Yes} for "Enabled processing of the rental enquiry notifications?" to enable processing of enquiries received from the DomainGroup portal.  

The DomainGroup portal will automatically provide notifications to CompleteEmpire when enquiries are submitted.

5. REA Group configuration

  1. Select {Yes} on the Enable DomainGroup Portal? switch to enable communication with the DomainGroup portal.
  2. Enter your Agency ID (6 upper-case character long) into the Agency Ident. field.
  3. An REAGroup Agent account can be configured for the entire real estate agency using the top section, alternatively separate Agent accounts can be configured for individual operating locations by clicking the expand link next to {Operating Locations}.

Dependant on your CompleteEmpire subscription, the page will display sales and/or rental options.

  1. Click on the expand link next to Sales Agents to enter the Agent ID for individual sales agents into the Agency Ident. field. The Agent Ident. field can be left blank.
  2. Click on the expand link next to Property Managers to enter the Agent ID for individual property managers into the Agency Ident. field. The Agent Ident. field can be left blank.
  3.  Select Yes for "Enabled processing of the sale enquiry notifications?" to enable processing of enquiries received from the REAGroup portal.
  4.  Select Yes for "Enabled processing of the rental enquiry notifications?" to enable processing of enquiries received from the REAGroup portal.  

The REAGroup portal does not automatically provide notifications to CompleteEmpire when enquiries are submitted hence CompleteEmpire must request the latest enquiries from the REAGroup portal at regular intervals. The Last Enquiry Sync. Date is used by CompleteEmpire to keep track of the date and time the last request was enacted. It should never need to be modified however can be used to re-process enquiries.

6. Property Upload

Dependent on your CompleteEmpire subscription, developments, established sale properties, and rental properties can be uploaded to a real estate portal. The steps to upload a property to a real estate portal are the same regardless.

Once one or all real estate portals have been correctly setup, the [Upload] button  will be displayed on the search, edit or details page for developments, established sale properties, and rental properties. The button provides an {Upload} or {View Logs} option.

The {Upload} option is used to upload a new property, update a previously uploaded property, or remove a property from the real estate portal.  

6.1. Upload a New Property

When the Upload option is clicked  to upload/update or remove a property the Real Estate Portal Upload window opens 

  1. Click the New button for one of or for any of real estate portals to perform the Upload.
  2. Click Upload to action the upload for a new property.

The following criteria must be met to upload a new property:

  • Must be assigned to a real estate agency, sales agent, and operating location that has been correctly configured to a real estate portal.
  • Must be available if for sale or have a signed management authority if leased.
  • Must contain a brief and at least one image.
  • Must be approved.
  • Floor Plans must be stored in the DMS as an image (.jpeg, .gif, .png), tagged as Floor Plan, and Public Domain turned on. A maximum of 2 floor plans is allowed.

6.2. Update a Previously Uploaded Property

A previously uploaded property can be updated by simply changing the relevant details in CompleteEmpire and then manually performing another upload.  

  1. Update a previously uploaded property shows the Upload dialog when uploading updating a previously updated property. Click the Update button for one or many real estate portals to perform the Upload.
  2. Click Upload to action the upload a property update.
  •  The sale property status is used to determine if the advertised listing is displayed as Under Offer or Sold/Withdrawn from the real estate portals.
  •  The rental property status is used to determine if the advertised listing is displayed as Leased or Withdrawn from the real estate portals.

6.3. View Logs

To upload a property simply add the property to a queue to be processed by the real estate portal sometime in the future. The real estate portals provide notifications to CompleteEmpire when the queued request has been processed resulting in the property being advertised on the relevant portal or error(s) to be corrected before retrying.

CompleteEmpire sends alerts to the user who performed the upload when a notification is received from the real estate portals. Alternatively, clicking the View Logs option from the Upload button will display the View Logs dialog as shown in Figure 5 View Logs.

7. Enquiries

CompleteEmpire will create a new opportunity for each enquiry submitted through the real estate portals. The new opportunity will be assigned the relevant built-in opportunity type determined by whether the uploaded property was a development, established sale property, or a rental property. The opportunity notification and alerts will be enacted as determined by the opportunity type setup.

Enquiries generated by the real estate portals can be viewed on the Opportunity search page setting the Source filter to Website and the Source Origin filter to REAGroup or DomainGroup.
