1. Core Modules
Core Modules - summarises the base system modules required to easily manage your business and are included in every subscription of CompleteEmpire.

The current standard modules include:
Visibility of the Core or Tailored module in your Main Menu will depend on the level of user or group authorisation assigned to your account login. Refer to your system administrator if necessary.
1.1. Dashboard
Your dashboard is your home screen and can be used to present important information in simple and customisable layouts.
There are a multitude of pre-set widgets for you to choose from, with the ability to expand the list upon your request. These widgets interlink with each module to provide a snapshot of your work and a reference for the days ahead.
When working across multiple modules, you can have multiple window ‘Views’ to report only relevant widgets to your current needs, useful if you have multiple job functions within the business.
1.2. Messages
CompleteEmpire has a message/email capability that can be integrated with your current Microsoft 365 account. Messages can be sent and received from internal subscription users and once linked to your Microsoft 365 account, can be used for the import & automatic filing of emails sent and received using the Contact Log system under your CRM.
1.3. Calendar
The CompleteEmpire calendar links all your work activities allowing you to display all appointments (meetings, required tasks etc) created within the system on your Calendar. The CompleteEmpire calendar is also integrated with your Microsoft 365 account allowing you to import your calendar events from your Outlook.
1.4. Document Management System (DMS)
CompleteEmpire includes a comprehensive and powerful document management system (DMS) that is accessible throughout CompleteEmpire and is, in its most simplistic form your centralised electronic filing cabinet. The benefits of a centralised DMS are huge and include saved time, improved teamwork, reduced paper filing and storage, security, traceability, accountability, retention, and compliance.
All documents stored within CompleteEmpire are held and managed within the document management system. The advantage of a DMS includes secure storage in a safe and secure location that is easily searchable. Any document can be searched by keyword, with the ability to include metadata that make it easier to recall a document or group of documents. When saving a document to the DMS the opportunity is offered to add extensive additional information that can be used to search and manage the document. This includes access permissions to view and or edit, version history to enable comparison between documents and maintenance document retention and compliance standards.
The DMS allows a document to be stored generally or specifically against a client account or work area, and also provides for security and version controls to be managed.
The DMS is integrated with DocuSign allowing the creation of templates that can be sent & managed through the DocuSign system.
1.5. Client Relationship Management (CRM)
Client Relationship Management is the core of all CompleteEmpire functions, interlinking with all other modules via Account. Accounts are the primary function of the CRM allowing you to manage and record your interactions with customers, clients, partners and staff.
CompleteEmpire’s interlinking abilities between modules is unprecedented and provides maximum visibility with the client history summary quickly showing important client activity including work activities, opportunities, contact logs and communications.
The Contact Log System is a unique and powerful tool providing the user an ability to customise their usage or to suit their internal requirements and maximise efficiency, and includes:
- Integration with your external Microsoft 365 account for your peace of mind by ensuring all your compliance requirements are met via the CRM’s Contact Log System.
- The Contact Log System can record every contact or interaction made relating to an Account.
- The unique CREF code feature allows you to either send emails directly from CompleteEmpire or with Outlook you can simply copy the CREF code into your Outlook email subject bar and then easily upload communication clusters from your Outlook account ensuring full visibility and tracking of your communications and an important part of meeting your compliance requirements.
- Contact Logs are fully integrated with the DMS providing the ability to send & manage documents easily either as a file note or email.
- Each user can create & save their own standard templates within the Contact Log System to improve efficiency on similar activity or communication logs.
- The Contact Log System also allows for ease of profiling, task confirmation and compliance with the interlinked Survey system.
- Each Contact Log includes the ability for appointment creation interlinking with the Calendar.
The CRM’s primary interlinking capability with the DMS features an electronic client file found at the bottom of each account or work/enquiry. This feature allows you to link all documents specifically related to a client to their account or to the relevant transaction being undertaken.
This capability also boasts CompleteEmpire’s unique document creation feature, allowing managers to upload document templates which can then be merged with an account’s specific details, as required. Both uploaded or created documents can then be shared through the Contact Log System or sent for signing via an integrated DocuSign account.
1.6. Opportunities
The opportunity system allows the detailed tracking or management of both incoming & outgoing referrals.
It is easily integrated with your website allowing for efficient automatic capture of online enquiries as well as the capability to manage internally lead referrals. You also have the option to provide limited access to third party business associates so they can enter and monitor any referrals.
CompleteEmpire gives you the ability to input & track this opportunity from initial communication to final transaction, including referral fees if applicable.
Designed as separate module that interlinks with Accounts through the CRM providing a detailed profile & history of the client, Opportunities also interlinks with all levels of reporting throughout CompleteEmpire allowing you to track and monitor all current & prospective leads as they come into your pipeline.
The interlinking of Reports & Opportunities also allows you to monitor staff KPI’s & revenue by having full visibility of all transactions related to each opportunity allowing your business to focus on & promote products & services that clients are more likely to engaged with.
1.7. Marketing
The Marketing module gives you the ability to comprehensively track all marketing activities as well as link them to costing analysis to properly assess the effectiveness of campaigns and marketing spend. Doing so is a very simple, time effective process. The system is split into two key sections.
1.7.1. Marketing Campaigns
This allows you to group together various tracking codes that can auto allocate source and source origin of activity.
The system can also create unlimited unique tracking codes that can be placed upon any online links to your website wherein if the visitor engages in the call to action (opportunity or enquiry), the source will automatically be recorded in accordance with the created tracking code. These Tracking Codes are also interlinked with specific cost items (budget & actual) in order to provide strong visibility on the cost vs benefit of any marketing campaign.
1.7.2. Expense Campaigns
This area allows you to allocate budget and actual expenses against a number of Tracking Codes to assess the level of activity and cost effectiveness. The ability to track and manage the source and cost of promotional activity provides terrific insight for management to validate marketing activity and spending.
You can create many Expense Campaigns for each Marketing Campaign providing key management & success reporting for any specified activities.
Each Tracking Code can be allocated to a specific cost area providing unparalleled detail and analysis, including comparison of budget to actual expenditure and activity created from each specific Tracking Code.
Expense Campaigns can be allocated against either a specific Development, Syndicate, Event or Source.
1.8. Reports
The Reports module is interlinked with all aspects of CompleteEmpire and is divided into two sections. The Reports module provides visibility of the significant amount of data that is captured in CompleteEmpire.
1.8.1. Standard Reports
CompleteEmpire provides a range of pre-formatted reports that have been designed to provide key management & operational information from the various modules and areas with detailed filtering and grouping.
1.8.2. My Reports
Additionally, you can quickly design your own custom reports based on your specific requirements that can be seen solely by the creator or shared within your business.
1.9. Connect
Broken up into 4 interlinked categories, CompleteEmpire negates the need for multiple separate independent applications for their marketing and event planning operations through the Connect module.
1.9.1. Communications
1.9.1.1. EDM’s
The CompleteEmpire Email/Newsletter EDM system uses a built-in tool to assist you in creating branding and constructing your electronic communications. It is the built-in tool you can use to create your content you can import images, externally created code and use the element tools to build a professional looking newsletter or email.
The EDM system automatically links to our Survey system to capture client data, profiling or feedback.
1.9.1.2. Email Skins
The CompleteEmpire Email/EDM system utilises ‘Skins’ and a ‘Builder Module’ to assist you in branding and constructing your electronic communications.
Email Skins are like a wrapper or a template for your email content. Allows the ability to create a range of email skins/templates such as corporate Header & Footer designs. These are selected when creating the email and are used in many areas of CompleteEmpire including the Contact Log system where the header and footer is added to all you outgoing emails.
1.9.1.3. Analytics
Use the Analytics view to review the performance of your campaigns, using a simple graphical presentation you can see how your campaign has performed from a summary of opens, forward and prints to the timeline, recipients email client details, timeline of opens, time of engagement, Geo location and review the clients who have received the campaign, their actions and create further work/actions for that client.
Analytics gives you the ability to see all overall EDM open rates, track SMS campaign and provides a powerful telemarketing function when following up sent communications.
1.9.2. Events
Gives you the ability to create with online registration, run & track events. Events can be allocated against a specific Development project or Sponsor.
The Event registration summary provides the ability to see who did or did not attend and provides a following up function for post-event telemarketing.
The Events system automatically links to our Survey system to capture client data, profiling or feedback.
1.9.3. Surveys
CompleteEmpire offers users a fully customisable survey system that can be used as a checklist by employees, to profile clients integrated within opportunity creation, marketing campaigns and events or used within contact logs.
1.9.4. Store
The Store module within CompleteEmpire is configured to quickly and easily manage low volume product sales by your business. It is a tool to manage stock, create tax invoices and receipts, track payments, shipping, print and manage shipping labels.
1.10. System
1.10.1. Lookups
CompleteEmpire provides you total control over how you would like to arrange your data, work processes and filtering. This is done through a series of reference tables, called “Lookups”.
Lookups are a key element in how relationship databases work. For your convenience CompleteEmpire provides a basic set of standard information as a guide, but Administrators can add and expand as you see fit to customise to your particular operations and preferences. General users have access to a range of Lookups that can be edited to suit your business requirements.
1.10.2. Requests
You can view all of your feedback submissions through the Requests view. You can use the pen icon to view and edit the request. The status on the right-hand side will be updated as our development team works through your requests. A request status that says ‘resolved’ require you to open the request and read the notes left by the development team. This is the quickest way to correspond with the development team however you can also speak to your client services representative regarding any urgent issues.
1.10.3. Release History
CompleteEmpire release history as updates, bug fixes and new features are added. Review by date of release.
2. Tailored Work Modules
Tailored Work Modules are specific to your requirements and can be added if your service offering expands in the future.
The current options include:
2.1. Project Management
The Project Management module will allow you to plan and manage projects and tasks with precision and will give you the ability for internal integration as the module can be linked to the Developments, Syndicates, Consulting and Marketing areas of CompleteEmpire as well as an option for nonspecific projects.
This is a powerful planning tool for those that like the detail and oversight of a powerful Gantt Chart functionality.
2.2. Developments
Primarily for Property Developers, the Developments module allows you to view all development details, work flow schedules, sales activity, contacts, documents and campaign expenses, integrating with your public website providing live stock inventory to your sales team.
This module allows the creation of an Availability Grid allowing real time tracking of units available and live reservation by your sales force.
The Document Management System provides ease of storage and access of sales and related materials for both internal and external sales force.
The Developments module integrates with the Sales module providing detailed tracking and monitoring of the progress of your sales chain.
2.3. Syndicates (Funds Management)
The Syndicates module is designed for any Funds Management business and includes investor management, financial accounting and compliance.
It will allow you to setup, run & manage all your syndicates & investment funds and perform all of the key administration requirements, including bank reconciliations, bookkeeping & financial accounts, loan & investor ledgers, automatic issuance of investment certificates & receipts, and tracking & management of the entire investor journey.
CompleteEmpire manages your distributions on either a percentage return or value per unit basis.
You can also calculate the current market value of an investment fund, after allowing for key adjustments and variances, to a per unit basis.
2.4. Sales
The Sales module is designed to assist internal & external sales agents with all aspects of your property sales activities, interlinking with Developments, Home Buildings & Established Property transactions.
The system provides detailed flow tracking Contact Log entry with full integration into Microsoft 365 including automatic upload of emails into the paperless filing system.
The Document Management System is integrated with DocuSign to allow custom creation of forms providing a fast and seamless process for any formal documentary requirements.
2.5. Rentals
CompleteEmpire offers a fully integrated property management onboarding solution, to track opportunities from inception to appointment.
2.6. Consulting
The Consulting module of CompleteEmpire facilitates workflow and billing of consulting projects & revenue.
The system allows detailed Contact Logs, documents management, workflow, project management and debtors for any work undertaken for a client.
2.7. Home Buildings
Primarily for New Home Construction companies’, this module allows you to store and list house designs within the Home Buildings module that you can integrate with your public website and your sales team allowing you to manage, promote & sell to your clients.
This module integrates with the Sales module providing detailed tracking and monitoring of the progress of your sales chain.
2.8. Finances
Primarily for Mortgage Brokers, the Finances module of CompleteEmpire facilitates the management of finance opportunities from initial enquiry through lodgement and settlement.
Detailed Contact Log & email functions, improved compliance, workflow management and operational efficiency.
2.9. Financial Planning
Primarily for Financial Planners, the Financial Planning module of CompleteEmpire facilitates the management of financial planning opportunities from initial enquiry, fact find & assessment, successful completion and annual review.
Detailed Contact Log & email functions, improved compliance, workflow management and operational efficiency.
2.10. Taxes
Primarily for Tax Agents, the Taxes module of CompleteEmpire facilitates the management of tax clients from initial enquiry through to return lodgement or work completion.

3. Additional Integration
CompleteEmpire facilitates the integration of a number of external third-party software providers.
These include:
3.1. DocuSign
CompleteEmpire integrates with DocuSign for ease of creating, managing & sending documents for electronic signature by internal & external users, streamlining the documentation within your business.
You have the ability to create personalised templates, specific to your requirements, which easily integrate with CompleteEmpire’s Contact Log email system and DocuSign.
3.2. Microsoft 365
CompleteEmpire integrates with Microsoft 365 to allow syncing of emails and calendar items with the Contact Log system & Calendar module.
3.3. Property Portals – Domain & realestate.com
Integration of Property Portals allows both Sales & Rental listings to be uploaded to these portals and allow enquiries to be fed into CompleteEmpire’s opportunity system.
3.4. Xplan
CompleteEmpire’s integration with Xplan allows for client information and fact find to be uploaded into Xplan to assist with the creation of any advice documentation.
