The Timesheets module enables you to allocate your time quickly and easily and is designed to be easy to use and a tool that is fully integrated into your daily activities and your specific work.

The module is fully integrated into all  work modules and Opportunities, Contact Logs and your CompleteEmpire Calendar.

A timetable widget is available within the Dashboard that will assist you with monitoring your work. How to add widgets to your Dashboard

Your subscription will have been preset with a number of general duties that are not specific to a client and client work area available for you.  Your administration manager will prepare this based on your company requirements. The system requires that a Global list of Project and Tasks is prepared and a list of available options can be reviewed within {Reports>Standard Reports>CRM>Accounts>Timesheets Project List Report}. See Viewing Reports and Searching within Reports

Project  -  what are you working on? An area or type of work defined for ease of reporting and management, it will reflect your allocated Work Area or a work type from the the general project list.

Task  -  What are you doing? The actual duties performed.

  1. To open the Time sheets view click on {Timesheets} in the main menu.

If you believe that you re undertaking a task that is not listed and you feel it is appropriate to include in your reporting please contact your system administrator/manager so it can be reviewed and added if appropriate.

  1. Timesheet graphic view - each time block is interactive and can be moved and duration adjusted by clicking on the block. Right click opens up the options to edit, duplicate, or add notes.
  2. Timesheet Header - two rows of tools to create, edit and control the display of your timesheet.

  1. Right click within the entry opens up the options window to edit, duplicate, or add notes.
  2. Click the X to delete the entry - confirmation is required.
  3. If the timesheet entry was created from within a work module then the account is shown as a link to enable you to navigate directly back to that work.

Row 1 - Quick Entry panel

  1. Select the work that your undertaking from the available work in the drop down list (sorted by groups of specific work and work type). The list presents outstanding work from the past 12 months. Narrow the choices by filtering the selection by text entry or select from the general list by entering a general term such as Tax, Office, Project - the general area of the work. Mandatory field.
  2. Select the task or enter a description of the work involved to find the appropriate type of task your undertaking.
  3. Select start time/date.
  4. Select finish time.
  5. Click [Add Timesheet Entry] to add to the calendar.

  1. Date range and go to current day or advance forward or backwards.
  2. Current date.
  3. Current timezone - automatically presents the current timezone for your login and setup.
  4. Current allocation of timesheet entries for the day.
  5. Hours displayed  - business hours or full day
  6. Select the vertical scale  - 5,10, 15 or 30 minutes time. Default is 30 minutes or your last selection.
  7. Select the horizontal scale  - day/work week/week or a list view.
  8. Click [Refresh] to refresh screen after changes.

  1. My Projects & Tasks
    • Quick action buttons to [Create New]; [Edit]; [Delete]; [Refresh] your own projects and tasks that are unrelated to specific works or available in the Global project list.
  2. [Submit]  -  click to submit your timesheet for the day/week or period since last submission.

  1. Handle top and bottom to modify start and finish times by dragging with mouse.
  2. Hover to highlight the {Delete} button.

  1. {Edit} to edit the entry.
  2. {Duplicate} to copy the entry.
  3. {Delete} and delete the entry.
  4. {Notes} to add/edit notes for the entry.

Creating Timesheet entries

CompleteEmpire offers many options for quick and easy timesheet entry as you undertake your work. Options will depend on the work, the area of CompleteEmpire that your currently in and your login credentials.

Submitting Timesheets

It is important to remember that until you “Submit” your timesheet the time will not be formally recorded against you work schedules. 

It is recommended suggest that you Submit the timesheet at the end of each working day, and no later than the end of each week as your last task of the week.  

There are a couple of important notes to remember:

The Submit button will warn you for any time slots that overlap, which ideally should not occur, so review this for accuracy.

When you click “submit” only what is visible on the Time Sheet screen will be submitted (Day, Working Week, Full Week) so you need to be sure you are capturing all entry times and submitting accordingly.  You can see if you have any previously unsubmitted time by looking at your Dashboard Widget.

  1. [Submit] -  click to submit your timesheet for the day/week or period since last submission.

  1. The Submit button will warn you if any time allocations overlap, ideally they should not occur, please review  and if necessary edit for accuracy.
  2. Click [Yes] to submit - this action cannot be reversed.

When you click [Submit] only what is visible on the Time Sheet screen will be submitted (setting dependent on Day, Working Week, Full Week). You need to be sure you are capturing all entries and are submitting them correctly. 

Note you can see if you have any previously unsubmitted time by looking at your Dashboard Widget.
