Inserting a document into a message or email

Whenever a document is attached to a message or email the document is referenced by a hyperlink back to the DMS. so any document sent from within CompleteEmpire will always need to from, or added to, the DMS. Attachments are included as hyperlinks not as files. The [Insert Document] button has a folded paper icon and opens a window to allow both selection and insertion of documents as well as modification of the link inserted referencing documents located in the DMS of your CompleteEmpire subscription.

Adding a document

  1. Click the [Insert document] to open the Insert Document window
  2. Use [Select Files] or {Drop files here} to add files not from outside of CompleteEmpire.
  3. Use the Search and filter options to locate files within the DMS
  4. Add the text that you wish to display within the message, this will replace the file name.
  5. Add a ToolTip (the Link Title) that will be displayed when the recipient hovers their mouse over the attachment link.
  6. Click [Insert] to return to your message.

Example using Contact Logs and changing the displayed name of a previously inserted web link or document . The same process is applicable to Messages or Emails sent from within Complete Empire.

  1. To change the web link text and tool tip wording first place the mouse cursor to bring focus onto the link text you wish to change.
  2. Click [Insert hyperlink] to open the  Insert hyperlink window.

When creating a new contact log as an email in particular it is worthwhile editing the link text  to reflect a less sterile reference than the original document file name. It is also possible to edit the tool tip, the displayed text when the user hovers their mouse over the hyperlink. A before and after example is given above.

  1. Over type the original document file name text as required.
  2. Overwrite the original document file name text as an example 'Click here to open'.
  3. Click [Insert] to change and close the window
