Contact Logs - using EXTERNAL contact reference numbers

As you should be aware, the Contact Log system allows you to start and respond to emails and quickly ensure all communication on any topic will be appropriately filed and visible within your organisation. The CREF is a unique code identifying each communication chain and was only available to the originators CompleteEmpire subscription and not usable within an external person who is using a separate CompleteEmpire subscription.

CREF codes used by an external user of a CompleteEmpire subscription can be used rather than creating a new one.

This will allow you to create the contact log with that identification code and as such import all emails relating to that communication quickly and easily, ensuring minimum effort, maximum efficiency and visibility.

An example is a development partner who has their own CompleteEmpire subscription but who is working with you on a development. The originator CREF can now be imported into their subscription and all following and prior emails in the communications chain will be linked by a common CREF.

Using an External CREF with your work

Using the feature is very simple. Create a new Contact Log as per normal practice. Refer to Creating a Contact Log for the General Account or Creating a Contact Log in a specific Work Area.

  1. You will now see a tick box - {I have been provided an external Contact Ref No?}
    1. Only use this if you have received communication from the external partner where they have created their own CREF.
    2. If you wish to use that external CREF instead of creating a new one (so that both parties can easily record in their respective systems the same communications) then tick [YES], otherwise a new CREF will be generated as normal.
  2. Enter the CREF code into the “Contact Ref No” box. Note only enter the 12 characters after the colon and before the closing bracket. [CREF#:ko7CKeKwaQxd]
  1. The system will smart check to ensure this CREF is not already in your system and you will not be able to create a duplicate a warning will be displayed. If it is already in your system, simply go to the Contact Log under the CRM area or visit the client account to find and respond from there.

Please note, using the external code does not in any way compromise the security of either user, as it does not allow any access from either user, all it does is allow the receiver of the created CREF to create their own record to match the imported communication into their personal system.  

Note that at this time the receiver and sender of the communications will need to be users of a CompleteEmpire subscription.
