Entities Summary and Edit views are easily accessed via Super Search. Remember entities are the actual legal status of the person or organisation and are used to track the specific personal records and information (such as date of birth for an individual or date of incorporation of a company). Entities are also used in CompleteEmpire to manage log in access and security clearances.
Whereas a person can have many different accounts an entity is unique to one person or legal structure.
It is recommended but not essential that you establish an entity when you are setting up the account as the additional data is valuable.
As dealings progress with the account the opportunity should also be taken to add additional details as they become available to you.
Accessing Entities
Access the legal entity using Super Search or alternatively you can access via the Linked Entities window in an accounts Summary or Edit views.
- Enter at least three characters into the Super Search field.
- Locate, identify the correct Entity and open the the Entity Summary view by clicking on the entry grouped under the label {ENTITIES}.
Or another option is to use the Linked Entities window found in the Accounts Summary or Edit views.
- Click on {Linked Entities} found in the Account Summary or Edit view to move the focus to the Linked Entities window in the Account Work Area.
- Click on the entity name to open the Entity Summary view or the [Edit] pen icon to open the Entity Edit view.

| Contact | Full contact information for the account and email preferences and honorifics. |
| Current Address | Current address of the account. |
| Postal Address | Current postal address of the account if different to the above. |

| Linked Accounts | Accounts that are linked to the selected Entity. Any person or account that has a controlling influence or access to this entity. |
Entity Details window will vary depending on the type of entity. Example for Individual and Corporation.
Entity Details - click to move focus to Entity Details in the Work Area.
- All fields in the Entity Details window are editable and should be completed as appropriate.
- Click [Save] to save changes to the Entity Details

Contact - click to move focus to Contact in the Work Area.
- All fields in the Contact Details window are editable and should be completed as appropriate.
- Tick box [Has consent been provided to contact by mobile?]
- Tick box [Has consent been provided to contact by email?]

A person who gives express permission knows and accepts that they will receive marketing emails or messages from you.
People can give express permission by one of the following:
- filling in a form
- ticking a box on a website
- over the phone
- face to face

Current Address - click to move focus to Current Address in the Work Area.
- Current Address fields - complete or edit as appropriate. Remember that fields outlined in red are compulsory. Use the [Address Search] to find address details via Google.
- {Start Date} - set a start date for a new address.
- Click [Add As New] - click when this is a new address which automatically will save the previous address as a record in the Address History window.
- Click [Save Changes] - to save any changes to the address.
Return to Entity Bookmark Menu
When the current address is updated the previous address is added to the Address History automatically.
Postal Address - click to move focus to Postal Address in the Work Area.
- Click [Save As Above] - click when the address is to be copied from Current Address.
- Postal Address fields - complete or edit as appropriate.
- Click [Save Changes] - to save any changes to the address.
Return to Entity Bookmark Menu
Address History - click to move focus to Address History in the Work Area.
- Double click the highlighted address in the grid or the [Pen] Edit button - to edit the existing 'previous' address(s).
- Click the [+] Create New button to add a 'previous' historical address.
- Click [Bin] to delete the entry.
- Click [Refresh] to refresh the changes displayed in the grid.
Return to Entity Bookmark Menu
When the current address is updated the previous address is added to the Address History automatically.
Linked Accounts - click to move focus to Linked Accounts in the Work Area.
- To add a linked Account to the Entity use the search feature by typing in at least 3 characters or using the drop down selector search by email or phone number.
- To create a new Account linked to the Entity use the [+] Create New Button to open a New Account window. Add any person or account that has a controlling influence or access to this entity.
- Click the [Refresh] button to refresh the view.
- Click [Edit] - pen icon to jump directly to the Entity Edit details window.
- Click [Unlink] - broken chain icon to unlink the entity from the account.
