How to improve productivity

The system has been designed to be a main communication tool for your business.

There are a number of key tasks that you need to remember and apply:

  1. All referrals should be solely done through CompleteEmpire Opportunities system.
  • The “Notify” option replaces the need to send emails, so introduction emails should only be done through the Notify option in Opportunities, where you have the choice to copy in (cc) the client when  sending.
  • Make sure you use proper and appropriate language in your communications.
  • This will allow you to properly track, view progress and manage any of your referral opportunities  created.
  1. Update account information whenever you can.
  • Take time to check information, addresses, phone numbers, etc and update as required.
  • Check the “Properties Owned” tab to ensure correct address and add as much information as possible.
  • The accuracy of information is essential and everyone has responsibility to ensure it is.
  1. Review past data
  • It is likely you may have some past information, such as opportunities and sales enquiries, that may still  be marked as “active and ongoing” even if they have been completed. Take the time to review this and update accordingly.

You should be using CompleteEmpire each day and in addition to any work processes for your role, you should be checking at least once per day for:

Opportunities

  • Search for opportunities Referred to you to see if any new ones have come your way.
  • Search for opportunities Referred by you to see the progress of your referrals.
  • Update new opportunities from Pending to Ongoing so the referrer knows you are acting upon it.
  • Add notes as appropriate.
  • If the opportunity leads to a more advanced stage, then Create the Work, Sale Enquiry, Investment Enquiry or  Rental Management from within the opportunity itself so that we can properly track the advancement.
  • This will also save you time as it will auto update the opportunity and inform the referrer.

Messages

  • Check your messages regularly and reply within the system.

Accounts

  • When dealing with a client, take the time to review their history logs to get a good understanding of the clients past contact with your business.
