How to add or create a Linked Entity for an account

Remember entities are the actual legal status of the person or organisation and are used to track the specific personal records and information (such as date of birth for an individual or date of incorporation of a company) as well as, in the future, the ability for the client to login to their Client Portal on CompleteEmpire and review/update their own accounts.

Whereas a person can have many different accounts an entity is unique to one person or structure.  When creating and editing accounts the Linked Entity window indicates the legal partners to an account.

It is important that Linked Entities are checked and updated (especially when setting up new entities for clients) so that you can easily see all the linked activities for a client.

Explore the Linked Entities window

The Entities Summary and Entities Edit views are accessed from the Main Menu by selecting {CRM}>{Accounts}.

  1. [?]  -  Informative bubble for your reference.
  2. [Create New]  -  use to create a new entity, opens a New Entity window.
  3. [Refresh]  -  use to refresh the window when an update has been made.
  4. {Search for an entity}   - enter at least one character to view the drop down list of entities that exist on your CompleteEmpire subscription. Search by name, email or mobile phone number.
  5. [Edit] - click the pen icon to open the Edit View Details window for the linked entity.
  6. [Unlink]  -  click the broken chain icon to unlink the entity from  the current account.

Linking an existing Entity to an account

From either the account summary or edit view locate the Linked Entities window.

  1. Enter in the {Search for an entity} field at least one character to view the drop down list of entities that exist on your CompleteEmpire subscription. Noting that you can search by name, email or mobile phone number. Select the correct entity

A prompt will ask you to confirm the selection.

  1. Click [YES] to add the Linked Entity.

Creating and adding an Entity that is to be linked to an account

From either the account summary or edit view locate the Linked Entities window.

  1. Click on [Create New]  -  to open a New Entity window.
  1. Complete as necessary noting that by default the current account addresses and contact details are saved to the new entity.
  2. Click [Save] to create and add a linked entity to the account. Refer to How to create a New Entity for further information on entity creation.
