How to Import Emails from Outlook

CompleteEmpire can import mails from external email applications such as Microsoft Outlook.  

Be aware that the import from your Outlook email account will ONLY process your inbox and will not process any sub folders within that Inbox.

This is a necessary action that should become a regular event in your daily routine.  Either at the end of the day, the start and intermittently during the day depending on your work flow.

You now no longer need your Outlook account username and password to import from your Outlook account as you would have already authenticated your Microsoft 365 account. Refer to Linking to your Microsoft 365 account

Open the Import Panel

  1. Click {Messages}from the Main Menu to open the Messages view.
  2. Click the [Open Panel] icon (blue arrow) on the right hand side of the Work Area Header to open the Mail Import slide out panel.

OR

  1. Click the [Import from your Mail Provider] button in the Work Area Panel Quick button group to open the Mail Import slide out panel.
  1. Click [Sign in with Microsoft 365 to open the Microsoft 365 Mail Import window.

Note: If you receive a message indicating that your authorisation token has expired. Simply go to the Social Accounts page and click the Refresh Account button for Microsoft 365. Then retry the import.

 

  1. Date Range  -  Select a date range for your import. There are preset selections, 1 month or chooses specific date ranges.
  2. Click [OK] to commence the scanning of your email account and import of CREF tagged emails.

During the import process the only emails that are imported have the CREF tag and then only those associated with your user profile work activity areas. Emails without the CREF are ignored.

When import is completed check your Messages Inbox in CompleteEmpire or the History log for specific accounts.

To avoid duplication, CompleteEmpire will exclude emails from colleagues with the same email domain, as that communication is automatically recorded when it was originally sent. So your receipt of the email will not record, however your reply to it will.

Note that your email account credentials may be different to your CompleteEmpire account user and password login credentials.
