How to update the account of a client who is deceased

Unfortunately it comes to us all and there will be occasions when a client will have passed. It is important to address the fact quickly and promptly to avoid further distress to loved ones and avoid unwelcome emails, marketing campaigns etc,.

It is important that the account is deactivated but not changed or amended but retained for record keeping, deceased estate planning and probate.  

Example

Mr Richard Olive is a client who recently passed away - the following actions are to be undertaken as soon as possible. Note this does not preclude assistance being given to the Executor or Public Administrator and other authorised parties who will need to deal with the deceased estate.

Use the Notes as it  is important and ensures that all who may deal with account are aware of the passing of the client.

  1. Use Super Search to locate the deceased account.
  2. Click on the account to open in the Account Summary view.
  1. Click [Edit] to open the Account Edit view.

In the Details window:-

  1. Edit the account name to mark the account is now that of the 'Deceased Estate of {client name}'.
  2. Add a note to the account to the effect that the client has died with the date of death and any other relevant information such as name of executors or administrator of the estate.
  3. Click [Save].

In the Contact window:-

  1. Tick the box {Has the account become inactive?}  -  YES
  2. Untick the box {Has consent been provided to contact by mobile?}  -  NO
  3. Untick the box {Has consent been provided to contact by email?}  -  NO
  4. Click [Save].

Linked Entities window:-

  1. Locate and click [Edit] to open the the deceased persons Linked Entity at the Entity Edit view.

Entity Details Edit view:-

  1. Enter date the client passed away.
  2. Click [Save] to save the changes.

This completes the formal process but there may be other activities required to inform associates, colleagues and to review other Linked Entities of the deceased client.

Executors and other legal representatives may requires access to the clients portal and this and other activities related to the deceased estate.
