How to Create a New Account

The most important requirement for a business is to be able to manage and record its interaction with customers, clients, partners and staff. The basis of this is a record or an Account. An Account is set up for each transaction and is the main way to track and monitor activity.  A new account should be set up to match the correct legal ownership of each transaction.

The Accounts view is the most powerful tool within CompleteEmpire enabling you to quickly and in one place, review your businesses current, past and future activities and relationship with your clients and associates.

Always check before creating a new account that an existing account does not already exist for the client. Use Super Search to check.

The process to create an Account can start two ways;

  1. Click [Create New] > {Account} in the Work Area Header Quick Buttons in the Work Area Header; or
  2. Click the [Create New] [+] button in the Accounts View - Work Area Panel Quick Access button group

Both methods open a new window which requires some basic information to be able to quickly create the new Account but you are encouraged to add further details in the Account Edit view which, ordinarily, opens at the end of the New Account setup process.

Always check and update Account information to ensure ongoing accuracy.

Create a New Account from Work Area Header Quick Button

  1. Click [Create New] button in the Work Area Header.
  2. Click  Account in the drop down menu to open a New Account window.

Note the available choices in the drop down menu will depend on your system administrators setting for your work activity area.

Create a New Account from the Account View

  1. Click [Create New] + icon in the Work Area Panel Quick Access buttons. This directly opens the  New Account window

All fields outlined in red are mandatory and require completion before clicking OK

  1. Account Name  -  Type the account name
  2. Account Type  -  click and select the type account from the drop down list. This field is provided to allow your business allocate the correct account category to the new account for quick reference and access. Account Types are set up in Lookups.
  3. Email  -  Type in a valid email address. Note is possible for multiple accounts to have the same email address. See Email Address below
  4. Primary operating Location  -  Type of location for reference purposes and separation as may be required.
  5. Select the Source  -  click and select source from the drop down list.
  6. Select the Origin  -  click and select the origin from the drop down list.
  1. City  -  Type in city;  State  -  Type in state/county; Country select from the drop down list.
  2. Click and select an appropriate activity area for the account, choose one that is most closely aligned with the account. Default is none.
  3. Created by  -  The default entry will be you, if appropriate delete your name and type in an alternative name and select from the drop down list.
  4. [Tick]  -  Create entity for the new account - click to open and select from the drop down list the account entity type. Refer to How to create a New Entity
  5. [Tick]  -  Go to edit page? - Click to un-tick the tick box if you do not wish to proceed to the Account View for the new account. Refer to Exploring Accounts - Edit View
  6. [OK]  -  click to proceed.

Whenever a new account is set up it is essential that you take the opportunity to open the Account Edit view and add further details such as addresses, contact information and add relevant notes. Take the opportunity to add as much information as you can for your new account.

Email Address

When creating a new account if you enter an existing email address the system will present a prompt to ensure that you are aware that the account may already exist. There is no requirement to have a unique address but you need to check that your are not duplicating an account.

For example:

  1. The following accounts already use this email address: John and Daisy Smith, John Smith.  Continue if you sure you want to create a new account or Cancel to go back and select the existing account.
