Remember entities are the actual legal status of the person or organisation and are used to track the specific personal records and information (such as date of birth for an individual or date of incorporation of a company) as well as, in the future, the ability for the client to login to their Client Portal on CompleteEmpire and review/update their own accounts.
Whereas a person can have many different accounts an entity is unique to one person or structure. When creating and editing accounts the Linked Entity window indicates the legal partners to an account.
It is important that Entities are checked and updated whenever there are changes to a business structure, address, linked accounts or legal status.
It is recommended but not essential that you establish an entity when you are setting up the account as the additional data is valuable. A option is provided during the new account set up process.
Adding a entity to an account or linking an existing entity to a new or existing account is possible via the Linked Entities window found in Accounts Summary or Accounts Edit views within the CRM module of CompleteEmpire.
As dealings progress with the account the opportunity should also be taken to add additional details as they become available to you.
The Entities Summary and Entities Edit views are accessed from the Main Menu by selecting {CRM}>{Accounts}.
Entities - creating a new Entity when creating a new account
Refer to How to Create a New Account where during the new account creation process the option to tick a box {Create entity for the new account} is provided. Clicking the option will present a drop down list- click to open and select the entity type. Upon saving the new account a linked entity will have been created.
Creating a New Entity for an existing account
Unique email required.
Whereas a person can have many different accounts an entity is unique to one person or structure.
The email address is used to monitor this uniqueness and therefor once an email address is used for an entity it cannot be assigned to another entity.
Entities are also used in CompleteEmpire to manage log in access and security clearances throughout the site.
