How to Capture Leads

In CompleteEmpire there are a number of highly effective ways to capture leads into the system and allocate them to your sales team.

Automatic Online/Website Capture - using customised tools to create opportunities or sales enquiries from your website/marketing campaigns.

Manually - using CompleteEmpire to create an opportunity.

Referral Source Entry - using the referral entry system in CompleteEmpire to create an opportunity for you or via third party opportunity partners.

Automatic Online/Website Capture

CompleteEmpire has a range of API (plug ins) that can assist you to automatically create capture points on your websites.

API stands for application programming interface. It allows two applications to communicate with one another to access data. An API is essentially a messenger that takes requests, translates, and returns responses. These are set up by the CompleteEmpire development team as part of your account subscription.  

Opportunities

Once set up, these can feed either Opportunities or Development Sales Enquiries.

Once the API is installed, you simply need to ensure that an appropriate Opportunity is already in existence or needs to be created.

In the Opportunity Look Up, you can create a new Opportunity Type and Group it if you wish. An Opportunity Type can belong to multiple groups for ease of filtering or web display.

With each Opportunity Type, you can allocate it to a specific Enquiry Type under the appropriate Property Enquiry area in order to allow additional fields of relevance (such as development name or property address).

You can also create an email template to automatically notify and pass the lead to a Sales Agent with a pre-formatted email including merge fields of information from the lead capture.

Marketing

When creating links to your website from Social Media or Advertising, you should create a Tracking Code through the Marketing System, where you can create specific campaigns and track them to accurately assess the source of your lead activity and calculate the cost effectiveness of any campaign or lead generation activity.

Using this Tracking Code is a powerful management tool that is strongly recommended.

Manually

If you generate leads by internal or external methods, you can quickly enter them by using [Create New] option and selecting {Opportunity}.

The first question is to select an account which can be done by typing in the relevant name. If it is a new client simply use the [Add New]  [+] option and type in the client details as requested.

The system will automatically check if the new email address is already in the system, and if it is prompt you to use the existing (recommended to ensure no duplicate accounts and track activity history) or opt to create a new account if applicable (such as if the previous account was a personal name and this transaction may be a company owned by the person).

You can chose whom you may wish to allocate this new lead to, and once you selected you will have the option to send a notification email by selecting the “Notify on Saving?” tick box. This will create an email with the pre-formatted content previously set up in the Opportunity Type Look Up (if applicable), and allow you to quickly pass the lead to the relevant sales team member.

Referral Source Entry

If you deal with referral sources, you can either enter leads from them manually as above or allow them to have access as an “Opportunity Partner” where they can log in and create and track their own Opportunities in the system.

As an Opportunity Partner they have limited access to information, with security rules only allowing them to see their specific activity.
