Best work practice for those required to record their work effort within CompleteEmpire. The time costing system within CompleteEmpire has been built to ensure that staff can track their work on clients accounts and general business duties with the minimum of disruption or inconvenience to your duties. To achieve this we have 4 important entry points.
- Contact Logs - when any client Contact Log is created for emails, file notes or contact records. An very effective way to record Opportunity and shorter time tasks like client queries.
- Work Status updates - any time the work flow status of the client file is updated you can enter the task and duration.
- Calendar - when making appointments
- Timesheet module - direct entry if any of the above do not cover or not entered by the above.
It is strongly recommended that you try and do your time sheet entry each day as the longer it is left the harder it is to recall what was done.
It is important to remember CompleteEmpire is designed to support financial and accounting practices and related businesses and many staff are providing services and selling time and expertise. The importance of tracking for productivity, efficiency, analysis, performance review, reward and billing purposes is critical to the business managers.
Submitting Timesheets
It is important to remember that until you “Submit” your timesheet the time will not be formally recorded against your work schedules.
It is strongly recommended that you submit at the end of each working day, and no later than the end of each week as your last task of the week.
There are a couple of important notes to remember:
The Submit button will warn you if any time allocations overlap, ideally they should not occur, please review and if necessary edit for accuracy.
When you click [Submit] only what is visible on the Time Sheet screen will be submitted (setting dependent on Day, Working Week, Full Week, Month). You need to be sure you are capturing all entries and are submitting them correctly.
Note you can see if you have any previously unsubmitted time by looking at your Dashboard Widget. Use the filters to select {Submitted} - [No] and select a {Date Range} - [Last 12 Months] and {Base Unit} - [Weeks]
Dashboard Widget
The Time Sheet dashboard widget can be added via your dashboard screen view and it is found under the HR section of widgets.
You will be able to review your personal time sheet activity and anyone in your team under your supervision, including 4 views for tasks, projects, accounts etc over different time periods and a variety of search criteria.
You can also select whether to view all time, just submitted or just unsubmitted.
It is strongly recommended that you make this visible in your Dashboard for reference. See Timesheet Widget
