The article refer to the situation where an existing document needs a signature and you wish to add an eSignature using the DocuSign service. This functionality is only currently available for documents in the PDF format
- You will need to have a DocuSign account. Please refer to your CompleteEmpire system administrator.
- Note that DocuSign currently is only enabled for documents used within CompleteEmpire Work Activity Modules.
- The functionality to add a DocuSign eSignature to a existing document is only currently available for those in the PDF format.
Add the document that you wish to have signed using the DocuSign eSignature service you will need to begin at the work and add the document to the account.
Ensure that you have added all signatories to CompleteEmpire before starting the process of adding them to your documents for eSignature.
- Drag and drop or select and add your external or prepared PDF document to the account. Example DocuSign_Test_3.pdf. Refer to How to add a document to an account
- Right click the document and select {eSignature}.
- Enter your DocuSign password
- Click [LOG IN] to open the eSignature edit window.
Recipients Tab
- Select the Signatories - noting that the first signatory is prefilled with the current account name and additional signatories must be an active account within CompleteEmpire. Currently the limit is set to 4.
- Email Subject - you may change the prefilled subject.
- Enter your message to your signatories ensuring the information is sufficient to allow them to properly review and sign the document. The test will be sent along with the links to the document via DocuSign
- Click [Next] to move to the Prepare tab.
The Cc 1 and Cc2 fields allow you to add additional recipients of the final signed document.
Prepare Tab
- Select the first signatory from the drop down list.
- Drag and drop one of the 3 coloured 'flag' labels to the appropriate space in the document.
- Mauve - SIGN HERE
- Yellow - DATE SIGNED
- Cyan - INITIAL HERE
Repeat for additional signatories if required by selecting them from the drop down list and repeating Step 10.
- Click [Send] - at this point the process is managed by DocuSign and the appropriate emails are sent by DocuSign to the signatories and the eSignature process begins.
It is worth noting that it is best to avoid placing the 'flags' too close to the margins and very close to each other to avoid the resulting document either missing or overwriting each signature/timestamp. Note nothing will stop users and the process confirming that the document was correctly signed but any printed version may not display all the data clearly.
CompleteEmpire is a DocuSign reseller and subscribers who do not have a DocuSign account should contact CompleteEmpire support and the sign up process with DocuSign can be initiated. DocuSign is a third party service please refer to DocuSign for support.
Once the signatories has signed DocuSign will send a response to your CompleteEmpire subscription and an Alert will be generated to you as the sender. Refer to Handling of executed DocuSign documents for details of the process. Refer to The DocuSign process for further information on the signing process managed by DocuSign.
Currently DocuSign will confirm sending of the document for eSigning and when all signatories have signed and the document is confirmed as signed. The process involves DocuSign sending to the recipient in turn as each signatory received the email, signs and confirms. Once all the signatories have signed the document then an alert is sent to the originator as well as an email confirmation.
- DocuSign will send a response to your subscription and an alert will be posted to you.
- Click on the alert link to open the Summary View of the same work that originated the document
The signed document will replace the original document that you sent to DocuSign. Scroll down to the Documents panel to view your signed document.
Please allow time for the processing of the documents by DocuSign and CompleteEmpire before reviewing the document in the Document panel of the work.
